  • Overview

    The Conning Officer Virtual Environment (COVE) family of trainers offers an immersive virtual reality maritime training environment.  They provide the full continuum of navigation, seamanship, ship handling, piloting, and tactical Anti-Terrorism/Force Protection (AT/FP) training for naval personnel.

    The COVE Travel/Project Coordinator coordinates travel needs for the programs employees consisting of multiple installation teams, which includes booking hotels, flights, and ground transportation/rentals in addition to assisting with other travel logistics. The Coordinator will create the travel itinerary and ensure employees are aware of their travel arrangements. Ensures that travel needs are met within the constraints of the programs budget and Katmai travel policy.  The Coordinator also maintains the Integrated Master Schedule (IMS) in Microsoft Project.


    • Verify accuracy of travel arrangements and reconciliations; ensure employees have an understanding of their travel itineraries.
    • Serve as a general resource and point of contact to assist employees with travel-related issues
    • Research, negotiate, and secure rate with airlines, car rental companies, and hotels.
    • Submit travel advances.
    • Prepare travel packets. Follow up with travelers after their scheduled return.
    • Reconcile and process refunds/overpayments.
    • Complete related reports as requested.
    • Ensures strict confidentiality of financial records.
    • Maintain the daily updates of the Integrated Master Schedule (IMS) in Microsoft Project.
    • Works cooperatively within the department, Katmai, and outside agencies.
    • All other duties as assigned.


    Minimum Qualifications

    • High school diploma or G.E.D. certificate.
    • One to two years of experience with the Microsoft Office programs of Excel, Access, Word and Outlook.
    • Strong working knowledge of Microsoft Project.
    • Must possess the ability to operate general office equipment.
    • Exemplary planning and time management skills.
    • Ability to multi-task and prioritize daily workload.
    • Must possess professional work ethics, manner, and appearance.
    • Must possess ability to communicate professionally; both orally and in writing with a service-oriented approach, sometimes in stressful circumstances.
    • Must be available to work the assigned schedule of M-F, 8:00A-5:00P and available as needed to work a flexible schedule to meet the demands of the position, which may include nights, weekends, holiday and overtime.
    • A record of satisfactory attendance and performance in all prior and current employment as evidenced by positive employment references from previous and current employers.

    Preferred Qualifications

    • High School diploma or G.E.D. certificate with Technical School Program Certificate in Travel or Purchasing.
    • Three to five years of experience with the Microsoft Office programs of Excel, Access, Word and Outlook.



    Physical Demands

    • Ability to operate general office equipment, including but not limited to: 10-key calculator, telephone, computer and operating systems, computer software programs (Microsoft Office programs), fax/copier machine.
    • While performing the duties of this job, the employee is regularly required to have full range of mobility in upper and lower body; be able to reach overhead; be able to work in various positions, including stooping, standing, bending over, sitting, kneeling and squatting for extended periods of time; be able to lift, pull and push materials and equipment to complete assigned job tasks; and be able to frequently lift 20 pounds of weight throughout the assigned workday.

    • Katmai strictly adheres to the Occupational Safety and Health Standards (OSHA) regulations. Employee will be exposed to a wide variety of people in differing functions, personalities and abilities.

    Work Schedule

    40 hours per week.  May be required to work additional hours as needed to complete assignment or project.  May require flexible work schedule. Extensive travel required.
